Nobody wins when a return goes badly. The camera is sitting on your shelf, your customer is waiting, the replacement is on hold, and you're fielding the same call from the supplier asking for information you probably should have collected when you were still on-site.

Returns are one of those parts of the job that most installers handle reactively — something goes wrong, the unit needs to go back, and the process starts from scratch. But a small amount of preparation on every job, and a consistent habit of documenting the right things at the right time, can dramatically reduce the time spent on each RMA and stop faulty equipment sitting in limbo for weeks.

This guide covers what to document on-site, how to approach the return process efficiently, and how to avoid the most common mistakes that slow everything down.

Why RMAs take longer than they should

The return merchandise authorisation process exists to protect everyone involved — the installer, the supplier, and the manufacturer. In theory it's straightforward: the fault is identified, the return is raised, the unit is sent back, and a replacement or credit follows.

In practice, delays almost always come from the same places:

  • The serial number wasn't recorded at installation and nobody can find it now

  • The fault description is too vague to assess without a return visit

  • It's not clear whether the issue is a product fault or an installation fault

  • The unit has arrived back at the supplier with physical damage that wasn't noted or photographed

  • The return wasn't raised within the relevant timeframe and is now being queried

Every one of these is avoidable with a small amount of discipline during and immediately after installation.

What to record at installation — before anything goes wrong

The most useful habit you can build is treating installation documentation as a permanent record, not just a job sheet. The information that matters most on a return isn't always obvious in the moment — you don't know which camera is going to develop a fault in three months — so the answer is to record the key details on every unit, every time.

For every camera, NVR, switch, and significant accessory installed, record:

  • Model number — not just "8MP dome camera" but the full model reference exactly as it appears on the unit or its packaging

  • Serial number — this is the one that matters most for warranty and RMA purposes; photograph it if you can't reliably transcribe it from a small label in a tight spot

  • Firmware version at the time of installation, if applicable

  • Installation date — the warranty clock starts here, and this needs to be documentable

  • Location on-site — "Camera 4, rear car park, south-facing, approximately 4 metres height" is the kind of note that saves a return visit when you're trying to identify a specific unit remotely

  • Order reference or invoice number — links the unit back to the supplier record for the return

If you're using a job sheet, service report, or any kind of installation document, these should be standard fields. A photograph of each serial number label, stored alongside the job file, is the most reliable method — it takes thirty seconds per unit on-site and saves a disproportionate amount of time later.

Documenting faults clearly — the difference between a fast return and a slow one

When a fault is reported, the quality of your fault description determines how quickly the return moves forward. A vague description creates questions, questions require back-and-forth, and back-and-forth adds days to the process.

A good fault description covers:

  • What the symptom is — not "the camera isn't working" but "the camera is showing a black screen on the NVR despite being powered and recognised on the network; the web interface is accessible but the live feed is blank"

  • When it started — approximately, if not exactly; "working correctly at installation two months ago, first reported fault last Tuesday"

  • What you've already checked — power confirmed at the camera, cable continuity tested, swapped port on the PoE switch with no change, tried a second camera on the same port and it works

  • Whether it's intermittent or constant — intermittent faults are harder to assess and this should be stated clearly

  • Environmental context — outdoor camera in a position exposed to direct sun and temperature variation, or mounted in a sheltered indoor position

  • Firmware version — particularly relevant if the issue appeared after an update or if the unit is on older firmware

The more of this information you can provide upfront, the less likely the return is to be queried or delayed. A supplier's returns team assessing the fault description you provide is not doing so to be obstructive — they're trying to establish whether the unit needs to go back to the manufacturer, whether a firmware update might resolve it, or whether the issue is something that can be fixed remotely.

The on-site checks that should happen before you raise a return

Before you raise an RMA, it's worth being confident that the fault is in the unit rather than somewhere else in the system. A return that comes back from the supplier as "no fault found" costs you time, postage, and delays the resolution — and it raises questions about the installation quality that aren't helpful.

The checks worth doing before logging a return:

For cameras:

  • Confirm power at the camera, ideally with a multimeter — don't assume the PoE port is delivering the right wattage

  • Try the camera on a different PoE port or with a different power supply

  • Try a known-working camera on the same cable run to isolate whether the fault is in the cable or the camera

  • Access the camera's web interface directly if possible to confirm whether the issue is the image sensor or the network connection

  • Check the PoE budget on the switch or NVR — a switch that's over-committed on wattage will drop cameras intermittently in a way that looks like a camera fault

For NVRs:

  • Confirm the unit powers up and the display output is working on a tested cable and monitor

  • Check whether the issue is with all channels or specific channels

  • Confirm the hard drive is seated correctly and recognised — a large proportion of NVR "faults" turn out to be hard drive issues rather than recorder issues

  • Try a factory reset if the configuration has been corrupted, and note whether this resolves the issue

For PoE switches:

  • Confirm the unit is powering devices on all ports or identify which specific ports are affected

  • Check the total wattage budget against the connected load

Photographing damage — protecting yourself on the return

Physical damage is one of the most common reasons an RMA gets challenged or rejected. If a unit arrives at the supplier with a cracked housing, a bent connector, or any sign of impact damage, the conversation immediately shifts to whether the damage was pre-existing, installation-related, or caused in transit.

Protecting yourself is simple: photograph every unit before it leaves your hands.

Before packing a return:

  • Photograph all four sides of the unit and the connectors

  • Photograph any existing damage or marks that were present before the fault, even if you didn't note them at installation — if the housing has a scuff from when it was originally fitted, photograph it now so it can't be attributed to the return transit

  • Photograph the serial number label one more time if you haven't already done this

Pack the unit carefully — ideally in the original packaging. If the original packaging isn't available, use a box with adequate padding on all sides. A unit returned in a padded envelope or with minimal protection that arrives damaged in transit is likely to have the return rejected regardless of the original fault.

Raising the return with your supplier

The faster and more clearly you can provide this information, the quicker the RMA can be assessed and progressed. A return raised with a vague fault description and no order reference will take longer to process than one that arrives with full documentation — that's true of any supplier's returns process, not just FVS's.

Managing your customer while the return is being processed

This is the part that often gets less thought than it deserves. While an NVR or a camera is awaiting return and replacement, your customer may have a gap in their system coverage. How you handle that gap reflects directly on you, regardless of whether the fault is the manufacturer's, the product's, or nobody's in particular.

A few things worth having ready:

  • A spare camera of a similar or compatible specification — having even one or two units as loaners on larger service accounts is a worthwhile investment if you're regularly maintaining commercial systems

  • A clear, honest update to the customer about the timeline — "I've raised the return with the supplier, and I'd expect a replacement within five to seven working days" is a much better conversation than going quiet and hoping the replacement arrives quickly

  • A documented record of the fault, the return reference, and the timeline — if the customer subsequently raises the gap in coverage as an issue, having this on file shows you acted promptly

Hard drives: the special case in CCTV returns

Hard drives warrant a separate mention because they're both one of the most commonly returned items in a CCTV context and one of the most frequently misdiagnosed faults. Many apparent NVR faults turn out to be drive faults, and many apparent drive faults turn out to be compatibility or configuration issues.

Before returning a hard drive:

  • Run the NVR's built-in drive diagnostic if available

  • Check the drive is a surveillance-rated hard drive — consumer desktop drives used in CCTV applications fail significantly faster than surveillance-rated units and may not be covered by the same warranty

  • Check the drive is on the NVR's compatibility list if one is available

  • Confirm the enclosure is correctly formatted for the NVR — a drive that hasn't been formatted through the NVR's own format process will often appear as faulty when it isn't

Also note that hard drives returned with recorded footage on them may be wiped as part of the returns process. This is worth making your customer aware of before the drive leaves the site — if there's footage on the drive that the customer needs to retain, export it first.
